Packing list check
- Shipper information is correct
- Consignee or customer information is correct
- PO, order or shipment number is shown
- Item descriptions match the shipment
- Quantities are listed
- Carton, case or piece counts are clear
- Pallet or handling-unit references are clear when useful
- Package numbers match labels when numbered
- Any backordered or intentionally missing items are identified
- The packing list matches the physical freight
- Relevant references agree with the BOL
- A copy is placed or transmitted where the receiver expects it
The packing list and BOL do different jobs
The BOL is a transportation document.
The packing list explains the shipment contents in more detail.
They should not contradict each other.
If the BOL says 6 pallets and the packing list clearly describes freight distributed across 8 pallets, resolve the discrepancy before pickup.
Make the contents easy to verify
The receiver should be able to answer:
- What order is this?
- What items should be here?
- How many should be here?
- Which pallet or package contains them?
- Is anything intentionally backordered or split?
The less guessing required at receiving, the better.
Use consistent references
Match the references used across:
- Packing list
- BOL
- Pallet labels
- Purchase order
- ASN or customer paperwork when applicable
Inconsistent references slow down receiving because the dock has to determine whether documents describe the same shipment.
Count the finished shipment
Do not prepare the final packing list while the order is still changing and then forget to update it.
Compare the final document with the staged freight.
Use before the truck arrives for the full pickup-readiness check.
What happens when it does not match?
A mismatch can cause:
- Receiving delays
- Shortage questions
- Extra counting
- Product put on hold
- Incorrect inventory receipt
- Disputes about what was shipped
A clear packing list will not prevent every receiving problem, but it removes avoidable ambiguity.
Do not hide exceptions
If part of the order is intentionally not shipping, make that clear through the appropriate paperwork and customer process.
Do not let the receiver discover the difference only after unloading.
Use the same shipment truth everywhere
The freight, BOL, packing list and labels should all describe the same physical shipment.
