The short answer

Trade-show freight is deadline freight because the venue controls a fixed move-in schedule and the show opens whether your carrier is ready or not.

What happens, in order

  1. Read the exhibitor manualFind target dates, labels, warehouse addresses and move-in rules.
  2. Choose advance warehouse or direct-to-showDecide based on timing and show rules.
  3. Prepare labels and BOLUse show-specific instructions exactly.
  4. Ship to the required receiving pointAdvance warehouse or direct/marshaling location.
  5. Check in at marshaling if requiredThe carrier waits for venue release.
  6. Material handling takes overThe service contractor moves freight through the show operation.
  7. Show move-inFreight must be in position before setup and opening deadlines.
  8. Prepare outbound documentsRelease freight correctly after the show closes.

What a marshaling yard is

A marshaling yard is a controlled staging point used to organize trucks before they enter a congested convention venue.

GES describes marshaling yards as a way to control dock congestion and requires carriers to check in according to target freight schedules for some events.

Target dates and move-in windows

A target date or move-in time is the show's assigned receiving window. Missing it can lead to refused freight, rerouting, later unloading or lost setup time depending on the show's rules.

Shipping vs material handling

Freeman distinguishes transportation from material handling/drayage. Transportation moves exhibit freight to or from the event. Material handling covers receiving and movement through the show operation, including toward the booth.

Those are different services.

Advance warehouse vs direct-to-show

Advance warehouse allows freight to arrive before show move-in so the contractor can later move it to the venue.

Direct-to-show sends the carrier to the event according to the direct receiving and target schedule.

Outbound is another deadline

After the show, repack promptly, complete outbound BOL or release documents, identify the carrier and follow the show's move-out procedure.
